Landlord-tenant practice
AI for Landlord-Tenant Lawyers: Leases, Notices and Evictions
Reconcile rent ledgers, check eviction notices against the lease and state statute, and draft petitions or defenses in RuleX. Identify the state first.
The working answer
RuleX helps landlord-tenant lawyers reconcile the rent ledger, check each notice against the lease and the state statute, and draft the petition or defense. Name the state, upload the lease, ledger and notices, up to 20 documents at a time, and RuleX builds a sourced timeline and an Excel reconciliation. Counsel edits in the Canvas and downloads Word.
01 / PRACTICE NOTES
Eviction law is state law, so the state is the first fact in the file.
Landlord-tenant work moves fast and depends on paper: the lease and its riders, the rent ledger, the notice and its proof of service, text messages about repairs and the property’s inspection history. Whichever side the firm represents, the case is decided by what the documents show and whether the notice matched the statute.
Create the matter in RuleX, choose Real estate as the practice area and name the state and county in the first message. Notice periods, service rules, forums and defenses differ from state to state, and an assignment that names the state produces research and drafts framed around its statute. Upload the lease, ledger, notices and correspondence, up to 20 documents at a time; scanned ledgers and signed notices are read by OCR.
New York shows how specific a state statute is. Under RPAPL § 711, a tenant may be removed from possession only in a special proceeding, and for nonpayment the statute calls for a written demand of the rent made with at least fourteen days’ notice, requiring in the alternative payment of the rent or possession of the premises, served as prescribed in RPAPL § 735. Use the governing state’s official statute the same way.
02 / PRACTICE NOTES
The ledger becomes a reconciliation anyone can check.
Ask for an Excel workbook that rebuilds the rent history from the lease terms and the ledger: monthly rent, due dates, payments, late charges, credits and the running balance, each row tied to its source page. Where the ledger and the lease disagree, RuleX marks the row, because the amount demanded in the notice must match what the lease and law allow.
The reconciliation serves both sides. A landlord’s attorney sees what can be claimed and at what date. A tenant’s attorney sees payments that were not credited, charges the lease does not support and the first month in which the balance diverges from the notice.
Add the key dates as tasks: the date of the notice, the date of service, the end of the notice period and the hearing setting. The matter then shows the sequence the court will examine.
- Name the state and county and choose Real estate as the practice area.
- Upload the lease, riders, ledger, notices, proof of service and messages.
- Ask for a reconciliation workbook tied to the lease and ledger pages.
- Check the notice against the lease terms and the state statute, item by item.
- Draft the petition, answer or motion in the Canvas.
03 / PRACTICE NOTES
Check the notice against the lease and the statute, one requirement at a time.
A defective notice often ends a case, and a correct notice makes it. Ask RuleX for a table with one row per requirement: the notice period, the content of the demand, who served it, how and when, and the proof of service. Each row cites the lease clause and the statute section, so counsel sees the defect or the compliance at a glance.
Federal law adds protections that deserve a line in the checklist. Under the Servicemembers Civil Relief Act, 50 U.S.C. § 3951, a landlord generally may not evict a servicemember or the servicemember’s dependents from premises occupied primarily as a residence, where the monthly rent does not exceed the statute’s inflation-adjusted amount, except by court order, and § 3951(b) addresses a stay of the proceedings on request when the servicemember’s ability to pay is materially affected by military service. Ask the tenant about military status at intake.
The Fair Housing Act adds another layer when the facts call for it. 42 U.S.C. § 3604(b) makes it unlawful to discriminate in the terms, conditions or privileges of rental of a dwelling, and § 3604(f)(3)(B) treats as discrimination a refusal to make reasonable accommodations in rules, policies, practices or services when necessary to afford a person with a disability equal opportunity to use and enjoy a dwelling. A tenant’s request and the landlord’s response belong in the chronology.
04 / PRACTICE NOTES
Hearing preparation starts from the same record.
Ask for a hearing outline built from the reconciliation and the notice table: the opening statement, the exhibits in order, the witnesses and the questions for each, and the points the other side will raise. The outline cites document pages, so the attorney can find an exhibit in seconds in a crowded courtroom.
If calls or hearings are recorded, upload the audio and RuleX transcribes it with speaker identification. A landlord’s voicemail promising time to pay, or a magistrate’s oral ruling, becomes searchable text in the matter.
Use this working prompt: “Name the state as New York. Using the uploaded lease, ledger and notice, rebuild the rent history in a workbook, then check the notice against the lease and the statute requirement by requirement with page cites. Ask me whether the tenant has military service or a pending accommodation request before drafting the hearing outline.”
05 / PRACTICE NOTES
Repairs, deposits and counterclaims come from the same file.
Defenses and counterclaims usually live in the correspondence. Ask RuleX for a repair chronology built from the texts, emails and inspection reports: the date of each request, the response, the condition described and the document behind it. A tenant’s attorney sees the pattern the court needs to see; a landlord’s attorney sees what the file shows about notice and response.
Security deposits belong in the same workbook. Ask for an accounting table that lists the deposit, each claimed deduction and its supporting document, and then check the table against the state statute that governs return and itemization, which you identify in the matter. The reconciliation, the notice table and the repair chronology together give the hearing outline its exhibits.
06 / PRACTICE NOTES
Standardize the docket for a volume practice.
Landlord-tenant firms handle repeating matters. Build a RuleX agent that holds the reconciliation columns, the notice-checking table, the questions asked of the client and the structure of the petition or answer, and share it with the team. The state’s statute and the client’s documents change for every matter; the method stays constant.
Run the first matter next to your current process, compare the results and adjust the instructions. The agent then becomes the firm’s standard first pass on every new file.
